Key Responsibilities
Coordinate domestic and international travel arrangements including flights, accommodation, ground transportation, and travel insurance
Manage travel bookings for staff, volunteers, and program beneficiaries in compliance with organizational travel policies
Identify cost-effective travel options while maintaining safety and reliability
Prepare travel itineraries and ensure all travel documents (visas, passports, tickets) are in order
Liaise with airlines, hotels, travel agencies, and service providers to secure discounts and partnerships where possible
Track travel expenses and maintain accurate records for reporting and auditing purposes
Provide support for travel-related changes, cancellations, or emergencies
Stay informed about travel regulations, visa requirements, and health and safety advisories
Ensure travel plans align with donor requirements and program budgets
Offer travel guidance and support to travelers before and during trips
Qualifications and Requirements
Proven experience as a Travel Agent, Travel Coordinator, or similar role
Knowledge of domestic and international travel booking systems and procedures
Strong organizational and time-management skills
Excellent communication and customer service skills
Ability to work within budgets and non-profit financial constraints
Familiarity with visa applications and international travel documentation
Proficiency in Microsoft Office and online booking platforms
High level of integrity and confidentiality
Preferred Qualifications
Experience working with non-profit or humanitarian organizations
Knowledge of travel logistics in developing or humanitarian settings
Ability to work remotely and manage multiple travel requests simultaneously
Multilingual skills are an advantage
