Role Description:
We are seeking a highly organized and proactive Executive Assistant to provide essential administrative, logistical, and coordination support to our key business teams across Johannesburg and Nairobi. This part-time role is central to ensuring smooth day-to-day operations, supporting leadership, and assisting the internal marketing team with event execution. The ideal candidate will be a master multitasker, thrive in a fast-paced environment, and serve as a reliable operational partner.
Key Responsibilities
Scheduling & Administrative Support
- Coordinate meetings across clients, talent, and internal teams.Â
- Manage complex calendars for leadership, prioritizing and resolving conflicts.Â
- Schedule across multiple time zones (Johannesburg, Nairobi, US, international).Â
Events & Meeting Support
- Provide logistical and administrative support for internal/external events, conferences, and workshops.Â
- Execute event logistics: venue liaison, catering, RSVPs, guest lists, attendee communications.Â
Travel & Logistics Coordination
- End-to-end coordination of domestic and international travel: flights, accommodation, transport, visas.Â
- Prepare detailed itineraries and ensure travelers are well-informed.Â
Office Coordination & Management
- Primary point of contact for office support in Johannesburg and Nairobi.Â
- Manage meeting room bookings and ensure readiness.Â
- Oversee office supplies, pantry stock, snacks, beverages; manage vendor orders and relationships.
Skills, Knowledge and Expertise
Qualifications:
- 3+ years as an Executive Assistant, Team Assistant, or similar administrative role.Â
- Experience in project-based, consulting, or professional services preferred.Â
- Prior administrative experience including event logistics, managing agendas, booking travel, and handling visa applications (preferred but not mandatory).Â
- Exceptional proficiency in Microsoft Office Suite (Outlook, Teams, Word, Excel, PowerPoint).Â
- Experience with expense management software is a plus.Â

Working Arrangements
Location :- Preferred base in Johannesburg, South Africa or Nairobi, Kenya; remote acceptable (preference for CAT-friendly time zones)
Hours :- 20 hours/week (~4 hours/day)Â
